Challenge: Your Event, Your Plan

You are preparing a plan for organizing an event. You need to create a task list, including responsible persons, deadlines, task status, and visual elements to enhance the clarity of the plan. Additionally, a form is required to collect attendee information.

Assignment:

  1. Create a table titled "Event Planning" with the following columns:

    • Task;
    • Assigned To;
    • Due Date;
    • Status;
    • Notes;
  2. Add several tasks, such as: "Venue Booking," "Materials Procurement," "Program Preparation," and "Communication with Participants."

  3. Add checkboxes to track progress:

    • In the "Status" column, add Checkboxes next to each task to mark completed steps. This will make it easier to see the overall progress of the preparation;

    (Select the cells in the "Status" column, go to Insert > Checkbox, and check/uncheck the boxes as tasks are completed.)

  4. Create a form for participant registration:

    • Create a Google Form to collect participant information. Include fields for:
      • First and Last Name;
      • Contact Information (email or phone);
      • Participation Preferences (if any, such as questions or topics);
    • Set up the form so that responses are collected in a separate sheet titled "Event Registrations" for quick access and analysis;

    (Go to Tools > Create a new form, add the necessary fields, and under Responses, click Create Spreadsheet to store answers in a new sheet.)

  5. Add images:

    • Insert an image (e.g., event logo or company branding) at the top of the table to give it a professional appearance;
    • If necessary, add images to individual tasks for clarity (e.g., a photo of the venue for the "Venue Booking" task);

    (Go to Insert > Image > Image in cell to insert the image at the top of the table or within a cell for each task.)

  6. Create an event layout using Google Drawings:

    • Draw a layout of the venue, marking the locations of areas (e.g., registration desk, lounge area, stage, etc.). Insert it next to the table so the team can navigate the layout and arrange the necessary zones for participant convenience;

    (Go to Insert > Drawing, create the layout, and click Save and Close to add it to the sheet next to your table.)
