When you need to collaborate with others in Excel, sharing your files through cloud services such as OneDrive or SharePoint is the most secure and convenient option. To share a file, first save your workbook to a supported cloud location. Then, use the Share button in Excel to invite others by entering their email addresses. You can set specific permissions for each person you invite, such as allowing them to only view the file or granting them permission to edit it.

There are two primary permission types:

  • View: Users can open and read the workbook but cannot make any changes;
  • Edit: Users can make changes, add or remove content, and even share the file with others, depending on your settings.

To ensure secure sharing, always double-check the list of people who have access to your file, use strong passwords for sensitive documents, and avoid sharing links with unrestricted access. Limit editing rights to trusted collaborators and regularly review who can view or edit your files.

To remove someone's access or stop sharing a file entirely, open the sharing panel for your workbook. Locate the user or link you want to remove, and select "Remove Access" or "Stop Sharing." This action immediately revokes their permissions, ensuring they can no longer view or edit the file.
