What Makes a Good Communication System?

Good communication rarely fails because of bad intentions, it fails because the wrong tone reaches the wrong audience, or the wrong channel is used for an urgent update.

A reliable AI communication system does three things well:

  • Classifies each message by type, so similar situations are handled the same way every time;
  • Judges audience and tone, so formal announcements and casual updates never get mixed up;
  • Drafts with a consistent style, so the reader's experience doesn't depend on who, or what, wrote the message.

Before Claude can process a single message, the workspace needs a few things in place:

  • A clear, non-overlapping list of message categories (for example: announcement, status update, request, escalation);
  • Style guidelines that define tone, length, and phrasing to avoid;
  • A simple folder structure that separates new messages from ones that have already been handled.
