Finding Tasks Worth Automating

Not every task is a good candidate for automation. Before picking a task, check it against three signs.

Note
Definition

A task is worth automating when it is repetitive, structured, and time-consuming.

  • Repetitive: you do it regularly, not just once;
  • Structured: it follows a similar format or set of steps each time;
  • Time-consuming: it takes a noticeable chunk of your week.

Take document translation as an example. It happens every week, it always follows the same format, and it takes a few hours each time. That combination makes it a strong candidate.

A one-off task, even a long one, is usually not worth automating — you will spend more time setting it up than you save.

Task

Write down two or three tasks from your own week, and rate each one against the three signs above. Pick the task that scores highest – you will use it in the next chapter.
